Understanding Permissions for Sharing Saved Views

What are the different permissions for users who own, receive, and are impacted by shared saved views?

Understanding who can do what with shared saved views is crucial to managing your data and collaborating with your team. The permissions can differ depending on whether you're the owner, an admin recipient, or a non-admin recipient. 

Permissions Breakdown

Here’s a quick visual of what each user can do with a shared saved view:

  • When the user is the Owner of a saved view

    • The user is able to edit, delete, share, reassign, and copy the shared view.

    • The user is not able to archive/unarchive the view.

  • When the user is a recipient of the saved view and an Admin User:

    • The user is able to edit, delete, share, reassign, archive, and copy the shared view.

  • When the user is a recipient of the saved view but is not an Admin User:

    • The user is not able to edit, delete, share, or reassign the saved view.

    • The user is able to archive/unarchive the view.

    • The user is able to copy the view.

Location-Based Permissions

If your organization has enabled location-based permissions, please note that some location-specific filters may not work the same way for recipients of a shared, saved view. When adding recipients, a helpful message will notify you that the results of the saved view may differ based on the recipient’s individual location permissions. This ensures that each user sees the data they’re authorized to access, making the sharing process transparent and secure.

 What Happens When the Saved View is Archived?


When a user archives a shared saved view, it only impacts their view—it won’t affect the owner’s or other recipients' views. The saved view will move to the "Archived Views" section in their dashboard, making it easier to keep things organized.

What the Owner Sees: No changes. The owner can continue to edit, delete, or share the saved view.

What a Recipient Sees: If you're a recipient, you’ll see the saved view under “Archived Views,” and you can unarchive it when needed.
