Sharing and Reassigning Shared Saved Views

How do you share or reassign saved views to other users?

Sharing and reassigning saved views are key features for collaborating with your team. In this article, we’ll guide you through the steps for sharing saved views with others, reassigning ownership of a view, and reassigning views when deleting a user from the platform. 



Sharing Saved Views

When you want to share a saved view with your team, here's how to do it:

  1. Navigate to the Applicants & Personnel table
  2. Create or Select a Saved View
    You can either create a new saved view or select one you want to share.
  3. Edit the Saved View
    Click the “three dots” dropdown next to the saved view you want to share, and select “Edit.”

  4. Add Recipients
    • Option 1: Select specific users to share the view with.
    • Option 2: Share with all company users if needed.

  5. Save Changes
    After selecting your recipients, save your changes.

Reassigning Saved Views

Sometimes, you may want to reassign a saved view to another user. Here’s how you can do it:

  1. Navigate to the Applicants & Personnel table.
  2. Select or Create a Saved View
  3. Edit the Saved View
  4. Select the New Owner
  5. Save Changes

What Happens After Reassignment?

  • For the Old Owner (User A): They will become a recipient of the saved view and can archive it, but they can no longer edit, delete, or reassign it unless they’re an admin. They can still copy the view. See: Saved View Permissions
  • For the New Owner (User B): They now have full control of the saved view and can edit, delete, share, reassign, or copy it. They'll receive a notification that they are now the owner of the saved view. Saved View assigned notification

Deleting a User and Reassigning Saved Views

When deleting a user in the company administration tab, it’s important to ensure any saved views they own that have been shared with others are reassigned properly. This section will guide you through the process of deleting a user and transferring their shared saved views to another user.

Steps to Delete a User and Reassign Their Saved Views

  1. Log in as Admin User A
    Make sure you have the necessary admin permissions to delete users.

  2. Navigate to the Admin & Settings Page
    Go to the Admin & Settings page to begin the deletion process.

  3. Edit the User You’d Like to Delete (User B)
    Find the user you want to delete, and click on the edit button next to their name.

  4. Select a User to Reassign the Saved Views
    A prompt will appear asking you to select a new owner for the saved views owned by User B. Choose the user (e.g., User A) to whom the saved views will be reassigned.

  5. Delete the User
    After reassigning the saved views, proceed with deleting the user.

    What Happens After Deleting the User?

    • For the Deleted User’s Saved Views:
      The two shared views belonging to User B are now reassigned to User A. User A becomes the new owner of the saved views, with full access to edit, delete, share, or reassign them.

    • For the New Owner:
      User A can now manage the reassigned saved views as if they were originally theirs, including making any changes or archiving them.
