Explaining the Recruiting Behaviors Report 🆕

The Recruiting Behaviors Report from DriverReach gives recruiters and their managers data about the recruitment process and how their recruiting team is doing by aggregating tasks completed by recruiters in the DriverReach system.

Accessing the Report 


1. From any page within the DriverReach system, select “Reports” from the main navigation menu at the top of the page.

 

 

2. Select the “Recruiting Behaviors Report” from the list on the “Reports” landing page.


 

3. Click on the highlight section to access report parameters.

 

 

4.  Select the date range for the report

The Recruiting Behaviors Report is run based on a specified date range input by the user using the date field located in the upper right corner of the report screen. After clicking anywhere within the date field, users may select the start date on the calendar that drops down to the left and the end date on the calendar that drops to the right, ensuring that the report will only pull data from that specific period.

You can choose from a variety of date range options:

  • Year-to-Date (YTD): From January 1 of the current year to the current date.
  • Last Year: From January 1 of the previous year to December 31 of the previous year.
  • This Month: From the first day of the current month to the current date.
  • Last Month: From the first day to the last day of the previous month.
  • Last Week: From Sunday to Saturday of the previous week.
  • This Week: From Sunday to the current date of the current week.
  • Any Custom Date Range: By clicking first on the start date on the calendar and then on the end date.

 

NOTE: What's the "Cycle Close Date"? 

Let's delve into the concept of 'Cycle Close Date '. This date, which is defined as the date when a recruiting cycle is closed, now determines the report results. It's important to note that recruiting cycles are opened when an applicant is moved to an Active Prospect stage and closed when an applicant is moved to one of the following stages: Hired, No Current Interest, Disqualified, or Terminated.

This means that any applicant who had a stage change to one of the “hiring cycle close events” within the specified date range will be included in the report. Terminated events are not officially cycle close events. They should always follow Hired events, but they will be treated as “cycle reset” events if the system has bad data due to combines/merges.


Data Points 

The Recruiting Behaviors Report contains many useful data points that provide insight into the recruitment process; read on to explore them in more detail with examples of how the data is tabulated within the report.



Recruiters


This column of the report lists the individual names of users who have been assigned the role of recruiter within the DriverReach system for the specified date range. Click on the name of a recruiter from the far left column to drill down into specific information about that recruiter’s assignees within the DriverReach system.

 

 

As seen in the image below, the view after clicking on a recruiter’s name within the Recruiting Behaviors Report includes the status, days in process, time to first contact, days to start process, and messages sent for each individual assigned to that recruiter during the date range and filter specified.

 

 

Applications Received
This column of the report lists the number of incoming applications received by each recruiter in the list for the specified date range.

Status
This column shows the status of the applicant, along with reasons for that status. For example, a Disqualified status could indicate that the applicant did not have the proper experience or other hiring qualifications.

Close Date
This column shows the date when the record was officially closed during the cycle.

Conversion Date
This column indicates the date when the applicant converted to a final status—Disqualified, No Current Interest, or Hired

Days in Process
This column shows you how long an applicant existed in the cycle before reaching a final status.

Time to First Contact
This column shows you how quickly a recruiter responded to a new applicant. This is only the initial outreach, not when/if an applicant responded.

Days to Start Process
This column indicates the time (in terms of days) it took to from when the  recruiting cycle opened (first Active Prospect stage) to the first 1-1 communication that was logged by the assigned recruiter. Excludes bulk communications, drip campaigns, and autoresponders.

Communications Count
This column shows the total number of times the recruiter contacted the applicant through text, email, or logged phone calls.

Total Hired
This column of the report shows the total number of applicants hired for each recruiter in the list within the specified date range.

Applicants Processed
This column of the report shows the total number of applicants processed for each recruiter in the list within the specified date range.


Team Metrics

Across the top of the Recruiting Behaviors Report, the data summary (highlighted in the image below) provides aggregate detail of the entire recruiting team’s performance for the specified report filters–it basically takes all of the data from the table of individual recruiter statistics and compiles a general snapshot of those statistics combined. The sections of this portion of the Recruiting Behaviors Report are detailed below.

 

 

Application Count
Shows the total count of closed application recruiting cycles within the filtered date range.

Conversion Rate
Shows the percentage of the total closed recruiting cycles where a full signed application was received.

Total hired
Shows the total count of closed recruiting cycles that resulted in a ‘Hired’ stage event.

Hire Rate
This statistic shows the percentage of the total closed recruiting cycles that resulted in a ‘Hired’ stage event.

Average Time to Hire
Average number of days from recruiting cycle opened (first Active Prospect stage) to Hired.

Average Time to First Contact
This is the average time from the recruiting cycle opening (the first Active Prospect stage) to the first 1-1 communication logged by the assigned recruiter. It excludes bulk communications, drip campaigns, and autoresponders.

Average Days to Start Process
This is the average time from the recruiting cycle opening (the first Active Prospect stage) to any other stage or stage level.
